Junior Participant Privacy Notice

This notice applies where a participant under 18 registers through our junior or guardian registration process, including events specifically open to competitors aged 16 and under. It explains how we handle personal data relating to junior players, their parent or legal guardian, and any additional responsible adult nominated to supervise the player at the venue. It sits alongside, and forms part of, our main Privacy Policy, which continues to apply in full.

3RE (Thailand) Co., Ltd., operator of Bangkok Cuesports Festival, is the Data Controller for personal data collected through this registration process. Privacy questions and requests can be sent to support@3re.co.th.

Who this notice is for

This notice is for the parent or legal guardian completing or authorising a registration on behalf of a participant under 18, and for any additional adult nominated to supervise the player at the venue.

Information we collect

For a junior registration we collect:

  • The player's full legal name, date of birth, nationality, identification document and identification number, and playing record.
  • The parent or legal guardian's full legal name, relationship to the player, email address and telephone number. The guardian's email address is used as the main registration and contact address.
  • Where a different on-site guardian is nominated: that person's full legal name, role or relationship, email address, telephone number, and confirmation that they meet the event's required adult age.
  • Any medical condition, allergy, medication or support requirement the guardian chooses to provide for the player's safety.
  • A record of the guardian's consent: the name entered as an electronic signature, the version of the consent wording accepted, and the date, time and relevant technical details of the submission, such as IP address and browser information.

How we use this information

We use junior and guardian information to:

  • Verify the player's eligibility and identity for the event.
  • Obtain the guardian's consent for the player to register and take part, and keep an accurate record of that consent.
  • Communicate with the guardian about the registration, approval, payment and event logistics.
  • Administer the competition, including draws, results and rankings.
  • Meet safeguarding requirements, including confirming that a responsible adult guardian is present at the venue.
  • Respond to first-aid or emergency situations.
  • Process prizes where applicable.

Guardian consent and safeguarding

Where guardian consent is required, a parent or legal guardian must provide that consent before the player can take part. A registered responsible adult guardian must remain at the venue whenever the player is present for tournament participation. The parent or legal guardian and the on-site guardian may be different people; where they differ, the parent or legal guardian authorises the nominated on-site guardian to supervise the player during the event.

Sharing your information

We share relevant competition information with World Nineball Tour / Matchroom where necessary for event sanctioning, administration, results and rankings. We also use trusted service providers for website hosting, database and secure storage, email delivery, and network and security services. Personal data may also be disclosed where required by law or where reasonably necessary to protect the safety or rights of a participant. We do not sell personal data.

Medical and health information

Any medical or health information provided is sensitive personal data and is provided voluntarily for the player's safety. Access is limited to authorised administrators and event personnel who require the information for registration administration, safeguarding, first aid or emergency assistance.

Identification documents

The player's identification document is uploaded during registration to verify identity and eligibility. It is stored in a private, access-restricted location, is accessible only to authorised administrators, and is not used for unrelated purposes.

We do not collect or upload a copy of any parent, legal guardian or on-site guardian identification document during registration. The responsible on-site guardian's government-issued photo ID is checked in person at event check-in and is not uploaded to, stored by, or retained by the registration system.

Photography and media

Media consent is collected separately from the main participation and safeguarding declarations. Where required for the event, the guardian must provide consent to identifiable photographs and video of the junior player being used for event coverage, our websites, social media, promotion and broadcast, including by World Nineball Tour / Matchroom.

Retention

We retain junior and guardian information only for as long as reasonably necessary for the purpose for which it was collected and in accordance with our retention practices and applicable legal, safeguarding, accounting and regulatory requirements.

Identification documents collected solely for verification are securely and permanently deleted within thirty (30) days after the festival unless a longer period is required for a specific legal, safeguarding, accounting or dispute-related reason. Medical or health information is retained only for as long as reasonably necessary for the player's safety and the applicable safeguarding, accounting and legal purposes. Sporting results and ranking records may be retained as part of the historical sporting record.

Your rights and how to contact us

Subject to applicable law, guardians may request access to, correction of, or deletion of personal data we hold about the player or themselves, and may withdraw consent where processing is based on consent. Some information may still need to be retained or processed where there is another lawful basis or a legal, safeguarding, accounting or operational obligation to do so.
